Leadership
The retreat leadership team’s first priority is prayer—to make each incoming freshman class the most prayed-for in the school’s history. This is made a priority to help each member of leadership grow spiritually, experience God’s faithfulness, and build habits that last beyond the retreat. These leadership roles, supported by and working alongside The Oaks Collaborative’s full-time team, also cultivate and equip counselors, CREW and worship teams, oversee logistics, and prepare every detail to welcome freshmen into a unified body of Christ on campus—with a focus to be rooted in Christ, strengthened through Christ-centered community, and bearing fruit for Christ's name on their campus.
Co-Directors

Head of Logistics
A retreat like this has a lot of moving parts. This role manages all those moving parts to make sure it goes smoothly - from schedule development to schedule implementation and making sure that you have every supply you need and that everyone involved is aware of what is happening and what they need to do.
Treasurer
The Treasurer will be in charge of responsibly managing the financial aspects of the retreat. This involves making sure that all positions stay within their budget, get approval before making retreat purchases and that they all turn in receipts for all purchases, making bank deposits as needed, keeping track of the retreat credit card and distributing when needed, and ensure all registration money is accounted for.
Head of Operations
There is a lot to be done behind the scenes for an event like this. This role will oversee our support CREW that will set things up, clean up, and make sure everything is where it needs to be. Operations and Logistics work closely together. Specific areas of attention under this role would be hospitality and food. The Head of Operations and their team will also help with Main Sessions in all setup and breakdown.
Head of Prayer
This person will lead the leadership team in prayer, appoint prayer leaders from the counselors, and establish multiple times throughout the week during the spring and summer for people to gather to pray over freshmen and over the retreat.
Head of Public Relations
Ideally, this role will be filled by one organized person who will recruit a team of people committed to getting the word out about the retreat. This person will oversee strategy, plan for all marketing and communication, etc.
Head of Fundraising
The Head of Fundraising will be in charge of all retreat fundraising efforts. This includes but is not limited to planning and promoting restaurant percentage nights, ensuring the correct implementation of all staff sending out donor letters, reaching out to retreat alumni to become monthly supporters, and pursuing business sponsorships. This may also involve planning a spring retreat fundraiser if your leadership chooses to do so.
Head of Registration
This person will be in charge of managing all registration issues and communicating with incoming freshmen after they register. They will also be in charge of the onsite registration process as freshmen arrive. This also involves placing freshmen and counselors with rooming and small group assignments and managing information concerning the special needs of all attendees (dietary, physical, etc.).
Counselor Trainers
These co-trainers (one male and one female) will recruit and train counselors/group leaders. They will plan and prepare for counselor applications and interviews. They will also develop and implement training for all counselors to prepare them for their role in leading the freshmen.
Head of Media
This role works directly with the Head of PR to help with graphic design, social media, designing signage, and taking pictures and developing promotional videos and post retreat recaps videos. The Head of Media should be someone with good experience in at least one of these areas with the ability to either learn the others or recruit other volunteers to help in needed areas.
Head of Main Sessions
This person is in charge of establishing a band and leading them to set a worship song plan for the retreat during the spring and then organizing, setting up, and breaking down sound and lighting equipment to make the worship and teaching sessions what they need to be. Essentially overseeing all AV elements connected with putting on a quality worship service (screens for lyrics, and any other worship rooms needs as well).
Head of Hospitality
We want to honor these freshmen by making this a fun, memorable and comfortable experience for them. The Head of Hospitality’s job is to set the stage for every moment and setting of the retreat. They will work with registration cards to send letters to freshmen after they are signed up, they will work with main sessions to get the main worship room aesthetically ready, they will line up snacks and drinks, they will be in charge of music and decorations for night time events. In short, this role helps make the final touches of the retreat what they need to be.
Staff Roles
These roles will be filled during the spring semester prior to the retreat.
Counselors
Counselors for the retreat will have several freshmen in their family group that they lead in conversation pertaining to the different sessions, typical freshman issues, and how to be a disciple of Christ on campus. They will be paired with another counselor and their family group will meet together for the majority of the retreat. Counselors seek both to be a blessing to them at the retreat by helping them prepare to start college rooted in Christ, but they also seek to walk alongside their freshmen through their freshman year - it's not just about a few days together, it's about a life lived faithfully for Jesus on campus and everyday thereafter.

CREW
The CREW is the team working behind the scenes to make everything happen. ​The role of CREW will involve Connecting with freshmen in various ways and helping them connect with others to have a strong Christ-centered community as they start college. Next it will involve Relying on the Lord in big ways as our CREW is the core of our prayer team during the retreat as well. Then we want CREW members to have eyes to see how to serve and work behind the scenes in order to Enrich the lives of freshmen attending. And finally you will Work on crew - setting up, cleaning up, serving, etc - but it will be incredibly fun and rewarding work because you know the impact it's making.

Worship Team
The Praise Team is a group of staff members who will lead worship during the retreat, including the Tech Team, which will manage the audio and visual during the main sessions.
This team sees the honor in leading incoming freshmen, and our retreat staff as a whole, in worshiping the Lord through song.
